2. How to Access (For Members)
Receiving Your Key
- Private rooms are typically shared via email or dashboard ahead of the event. Watch for a note like “Your secret key for this session will be sent the day before.”
- Ensure you're logged into your CrownThrive membership account when accessing the invite.
Joining the Room
- Click the provided workspace room link.
- When prompted, enter the exact secret key (case-sensitive) in the “Room Privacy” field.
- If it fails, double-check for typos or ask for a refresh/reset of the key.
Access Window
- Keys usually go live 30–60 minutes before the event. Enter once the room is scheduled to open.
- If the event is multi-day or recurring, the same key often remains valid for the duration unless otherwise specified.
3. How Hosts Manage Access
Setting Up Private Rooms
- Hosts can configure private rooms via Room Settings → Room Privacy → Private, then entering a secret key, and saving the settings.
Sharing the Key
- Admins should distribute keys clearly via email, portal announcements, or chat blasts.
- Mark reminders in the Member Playbooks (e.g., “VIP members, your secret key will arrive 1 hour before doors open in your dashboard”).
4. Common Issues & Fixes
“Wrong Key” Error
- Verify case sensitivity and that there are no spaces before or after the key.
Key Not Active Yet
- If it’s too early, the system may not yet recognize the key. Wait for the designated unlock time.
Persistent Access Denied
- Check if your membership tier includes private room access (VIP or Sponsor only).
- If so, contact support with event name, workspace, and timestamp.
