Using Breakout Rooms in ThriveGather (For Members & Hosts)

1. What Are Breakout Rooms?

Breakout Rooms in ThriveGather™ are smaller, interactive spaces that branch off from a larger event session. Powered by GoBrunch’s 50-breakout-per-event capacity, they allow members to:

  • Join focused discussions.
  • Network by topic or region.
  • Attend specialized workshops or sponsor-led activations.

Each breakout inherits features from its parent workspace (chat, circle cams, screen share, recording options) but can be customized in layout, branding, and membership access.

2. Membership Access & Privileges

Community Members

  • Access to Public Breakouts only (e.g., Neutral Room, 24 seats).
  • Limited engagement tools (chat, mic, circle cam).
  • Cannot enter Member, VIP, or Sponsored Breakouts.

Pro Members

  • Access to Member Breakouts (e.g., Classroom, 38 seats; Pro Workshop, 25 seats).
  • Priority seating in regional breakout clusters.
  • Can co-host small sessions if permitted.

VIP/Legacy Members

  • Full access to all Public, Member, and VIP Breakouts.
  • Special invitation-only pods (e.g., Minimalistic Conference Room, 18 seats; Virtual Office, 12 seats).
  • First-priority seating in auditorium-linked breakouts.

Sponsors

  • Operate Sponsored Booths and Stages as breakouts (3–120 seats).
  • Rooms are fully white-glove managed by CrownThrive staff.
  • Includes embedded CTAs and lead-capture forms.

3. Host & Moderator Workflow

Step 1: Pre-Event Setup

  • Hosts select up to 50 breakout templates per event.
  • Room naming follows the schema:
  • Assign access restrictions (Public, Member, VIP, Sponsored).

Step 2: During Event

  • Moderators announce breakout opening in the main auditorium.
  • Participants select breakout links from the “All Rooms” panel.
  • Moderators can:
    • Move participants between breakouts.
    • Enable/disable mic/cam permissions.
    • Lock breakouts when full.

Step 3: Post-Event Wrap

  • Close breakout sessions in sequence.
  • Save recordings (if enabled).
  • Collect analytics: attendance, engagement, seat utilization.

4. Use Cases by Workspace

  • Advertising & Sponsorship: Ad agencies run campaign-testing pods (Cabaret, 48 seats).
  • Art & Retail: Vendor demos in Sponsored Booths (5–7 seats each).
  • Beauty & Wellness: Stylist training in Classrooms (38 seats).
  • Blockchain/Web3: DAO governance pods in Pro Workshops (25 seats).
  • Culture & Media: Press Q&A lounges (Professional Meeting Room, 8 seats).
  • Education & Training: Lab clusters (Classroom + Pro Workshop combinations).
  • Networking & Community: Global masterminds (U-Shape, 36 seats; Roundtables).

5. Tips for Members

  • Arrive early: Breakout seats are limited by tier.
  • Engage actively: Use mic and circle cams for presence.
  • Bookmark rooms: Save URLs for quick re-entry.
  • Upgrade if needed: Pro and VIP tiers unlock additional breakout access.

6. Tips for Hosts

  • Always balance room sizes: combine large (602-seat auditoriums) with small (25–38 seat breakouts).
  • Use Sponsored Breakouts for monetization.
  • Rotate moderators to cover multiple breakout tracks.
  • Record key sessions for replay value.

7. ThriveGather Difference

Unlike generic virtual event platforms, ThriveGather ties breakout access directly to its membership model:

  • Creates scarcity loops (limited seats encourage upgrades).
  • Supports sponsorship monetization (exclusive breakout booths).
  • Enables regional scaling (7 regions × 50 rooms each = global reach).

This Deep Dive ensures members and hosts understand exactly how to plan, access, and maximize breakout rooms inside ThriveGather™.
