ThriveAlumni Electoral Eligibility & Vetting Policy

1. Purpose

This policy ensures that all individuals seeking election or appointment to any Board, Committee, or Advisory role meet strict qualifications, uphold ethical integrity, and pass vetting protocols necessary to maintain trust and transparency within the CrownThrive ecosystem.

2. Eligibility Requirements

To be eligible for candidacy, nominees must:

  • Be an active member in good standing for at least 6 consecutive months
  • Have no unresolved disputes, suspensions, or Code of Conduct violations on file
  • Be at least 18 years of age at the time of nomination submission
  • Have completed any mandatory pre-election onboarding or ethics training
  • Have not exceeded the term limit restrictions for previously held positions

3. Nominee Vetting Protocol

The Membership & Ethics Committee shall conduct a review of all candidates, including:

  • Verification of member standing
  • Review of past nomination history or disqualifications
  • Internal behavior audit (including moderator flags, message history, and public conduct)
  • Review of endorsements, campaign statements, and any financial disclosures

Candidates flagged for major concerns will be contacted for clarification within 5 business days. Failure to respond will result in disqualification.

4. Conflict of Interest Declaration

Nominees must submit a full conflict of interest disclosure form during nomination, outlining:

  • Business partnerships with current Board or Committee members
  • Family relations within active governance roles
  • Any external affiliations (e.g., competitors, regulators) that may impair decision-making

Omission or falsification will result in disqualification and a 1-year ban from future nominations.

5. Disqualification & Appeals

Candidates may be disqualified for:

  • Failing background checks
  • Submitting false or misleading nomination materials
  • Violating previous governance policy
  • Breaching the ethics pledge

Disqualified nominees have 7 days to file an appeal to the Judicial Committee, with supporting evidence. Appeals are reviewed within 10 business days and considered final unless new material evidence emerges.

6. Compliance Reporting

The Membership & Ethics Committee must issue a pre-election report stating:

  • Number of approved vs. disqualified candidates
  • Types of infractions and resolution status
  • Any appeals submitted and outcomes

This report is stored within the CHLOM™ governance ledger and included in the post-election public archive.
